What are Sales Promotions?

Sales Promotions allow you to record and verify promotions by using a voucher-code system to trigger a discount or billing plan. Sales Promotions can be open-ended, or scheduled to only be available between certain dates. By setting up different promotions and reporting on them, you can track which marketing campaigns have been most successful for your business.

 

Setting up a Sales Promotion

  1. Select Maintenance, then Sales Promotions. Click Add Promotion to create a new one. The following dialog will appear... Promotions setup
    • Enter a Plan code for your promotion; this can be 3 characters and will be automatically prefixed with your Facility Code. Note: This is just an internal code for the Promotion and does not form the actual promo-code / voucher-code / coupon-code.
    • Enter a Description for the promotion; for example "50% off first month".
    • Set the Valid From / Valid To if required; they provide you with an option to set the validity of the promotion. Note: If the voucher is redeemed prior to, or after, this date, the operator will have an option to accept it anyway.
    • Enter a Voucher Number (aka Coupon code / Promo code, etc). This can be up to 255 characters in length and forms the code that you will need to put on your vouchers or flyers, etc. It is not case sensitive.
    • Use the Customer Type dropdown to select what type Customer this voucher was provided to; it is a cosmetic field used for reporting purposes only.
    • To set the promotion to active, enable the checkbox entitled Promotion is available for use inside valid dates.
    • Promotion Type lets you set whether the promotion is based on a Billing Plan, or a certain Analysis Code. If you select Billing Plan, you will need to select the Billing Plan that the voucher will trigger (you can also select an Inactive plan). If you select Analysis Code, you will need to select the Analysis Code that it applies to & enter a monetary discount amount; the voucher will add a credit for this amount when used. If you select Show Analysis Code Description on Invoice, then the Analysis Code's description will be used; otherwise, the system will display the description of the promotion instead.Note: Only Analysis codes with the Available for Promotions Use option enabled, will appear in the dropdown (more on Analysis Codes: #ANLADET01). This step is also outlined in the video below.
    • Selecting Referral Promotion will prompt the operator for the Agreement number belonging to the referring user. The full 10 character Agreement number must be entered and a discount will be added to both Agreements.
    • The Number Issued field is a manual field used for reporting purposes. It is used to store the number of vouchers issues. For example: If you are going to create a voucher code for use on a promotional flyer, you might like to enter the number of flyers you're going to have printed.
