Custom Report #005 - Customers that haven't had a Late Fee since... report (#RPTCRC-005)

Introduction

This is a Custom Report that is available for purchase here. Once purchased, download the report from the store & follow the instructions below whenever you want to use your new report.

 

How to use this Custom Report

  1. Purchase this Custom Report from our Online Store (the link is included above).
  2. After you checkout & pay, the store will automatically email you a link where you can download several files needed to make the report. Download & save these files in a safe place - you will need them each time you want to run this report!
  3. Open StorMan. Select Maintenance, then Analysis Codes.
  4. Locate your Late Fee analysis code, and note down its Code identifier (ie. the information in the second column); it will generally be 5 letters (your facility code), followed by the letters "LF". You will need this identifier at Step 9. Click Done.
  5. Select Reports, then Custom Designed Reports.
  6. When the Custom Designed Reports section opens, you will notice a small floating window on the screen with a drop-down box inside it (the drop-down will likely read Facility). Change this drop-down so that it reads Customer.
  7. From the Select menu, choose Search.
  8. A Search window will appear. Click Load and open the file that you downloaded from the store called 005_customerthathaventhadlatefeessince_query.4DF. The query will load in the top-half of the Search window and you should a line of information here.
  9. The query will load in the top-half of the Search window and you should see several lines of information here. Click the line that begins with "[Transaction]AnalysisCode". In the bottom-half of the window, replace "SSCTYLF" with the Analysis Code identifier (from Step 4). For example: If your Analysis Code identifier (from Step 4) is "SSBOXLF", enter this here.
  10. Next, click the line that begins with "[Transaction]TrxDate". In the bottom-half of the window, replace "01/01/11" with the date that you would like to use. For example: If you want this report to show customers who have not received a Late Fee since ON or AFTER the 1st of September 2014, you would change the "01/01/11" to read "01/09/2014".
  11. Click Query to run your query. The data shown on screen will now likely change to reflect the results of your search. Note: The data shown on screen represents customers that HAVE had a Late Fee since your chosen date (ie. the "good payers"). If you want to report on your "good payers", skip ahead to Step 12. However, if you want to report on customer that HAVE NOT had a Late Fee since your chosen date, please complete the next part of this step below... To invert the display (and show only customers who HAVE NOT had a Late Fee since your selected date), go to Select, then Invert Selection. Click OK on the confirmation dialog that appears.
  12. Now we need to make a report based on this data. To do so, go to Select, then Create Report.
  13. A new Quick Report window will appear. From within this window (NOT the main window in the background), select File, then Open and browse to the other file that you downloaded from the store called 005_customerthathaventhadlatefeessince_report.4QR.
  14. After a few moments, the Quick Report window will adjust to display the pre-built report that you just loaded.
  15. Finally, select how you'd like to view or save your report...
    • To preview your report on screen: Select File then Print Preview from the Quick Report window. Use the on-screen buttons provided to cycle through additional pages (if a multi-page report) or to close the preview window.
    • To print your report: Select File, then Generate from the Quick Report window.
    • To generate your report to a Text File (so you can open it in Excel, etc): From the Quick Report window, select File, Destination, then Disk File. Now select File, then Generate from the Quick Report window. You will be prompted to give the exported file a name and to save it somewhere. Do so, then open this text file in Excel to work with it there.

Congratulations - you have now generated your purchased Custom Report. To run this report again in future, follow the instructions above from Step 3 onwards & ensure you keep the files that you downloaded from the Online Store in a safe place as you'll need them each time you want to run this report!
