What does the "Batch Print or Email Reports - Periodically" option do?

Periodic Reporting allows you to have reports to be printed or emailed on a Daily / Weekly / Monthly / Yearly basis during Daily Processing. The screen used to setup periodic reporting features tabs along the top (for Daily, Weekly, etc...) a tick box next to each report to set whether you want said report to be included in the batch. On-screen number fields next to the name of each report are used to set the order in which reports are generated (when triggered).

 

Tell me more about Daily / Weekly / Monthly / Yearly...

  • Daily is every day - so long as Daily Processing is run on that day, otherwise that day's reports will be skipped (more on Daily Processing: #DLYWISDP01).
  • Weekly is the first day of the week - based on the Week end day via Maintenance, System Setup, then the Settings 2 tab.
  • Monthly is the first day of the month.
  • Yearly is first day of the financial year - based on the Financial Year Start Date via Maintenance, System Setup, then the Accounting tab.

 

What happens if two triggers for periodically generating reports fall on the same day?

At times, there may become cases where triggers (for example, both weekly & monthly) fall on the exact same day. In these instances, multiple sets of reports will be printed / emailed. This is because the system may have been setup to email reports to different people at different trigger times.

 

How do I setup Periodical Batch Printing or Emailing of Reports?

  1. If you intend on using the email function, ensure you have a PDF writer or PDF creation-tool installed on your system and enabled in StorMan. If you only wish to use the batch-print function, please continue to the next step.
  2. Log into StorMan as a user with Admin-like permissions (using File, then Login As).
  3. Navigate to Maintenance , and choose Email & Event Log Setup.

  4. Click on the Send Details tab. This tab is used to setup the email address where you wish to send your batch of reports to. Use Add to add a new email address to the list.

  5. In the Send code column, enter D (for daily), or W (for weekly), or M (for monthly), or Y (for yearly), to tell StorMan that you are setting up a periodic report code (as per the description at the top of the Send Details screen).
  6. TAB or click across to the Name column, and enter the name of the person receiving the email reports.

  7. TAB or click across to the Email address column, and enter the email address of the person receiving the email reports. Use Add to add further users, if you wish reports to go to multiple email recipients, or at multiple trigger points. For example: You can setup Weekly Periodic Reports to go to Person A, Monthly Periodic Reports to go to Person B, and so on.

  8. Click OK to save & close this screen.

  9. To select the reports that you'd like to periodically batch print or email, select the Maintenance menu, and then choose the Periodic Reporting Setup option.

  10. On the Daily tab, setup whether you with to print or email your reports on a daily basis. Then tick the reports you with to have generated on this trigger and set the generation-order by entering sequential numbers into the fields provided. If you don't want any reports generated on a daily basis, skip to the next step.

  11. On the Weekly tab, setup whether you with to print or email your reports on a weekly basis. Then tick the reports you with to have generated on this trigger and set the generation-order by entering sequential numbers into the fields provided. If you don't want any reports generated on a weekly basis, skip to the next step.

  12. On the Monthly tab, setup whether you with to print or email your reports on a monthly basis. Then tick the reports you with to have generated on this trigger and set the generation-order by entering sequential numbers into the fields provided. If you don't want any reports generated on a monthly basis, skip to the next step.

  13. On the Yearly tab, setup whether you with to print or email your reports on a yearly basis. Then tick the reports you with to have generated on this trigger and set the generation-order by entering sequential numbers into the fields provided. If you don't want any reports generated on a yearly basis, skip to the next step.

  14. When done, click Save. Your reports will now generate when triggered, based on the settings entered.
