What is Casual Daily Rate billing?

Casual Daily Rate billing lets you bill casual come-and-go Customers on a daily rate.This is handy for marina Customers who wish to bill clients who often come and go, staying a day here & a day there. It may also come in handy for storage or car parking Customers who charge casual daily rates for parking (eg. airport parking), or hire companies charging casual hire rates for items.

 

How do I setup Casual Daily Rate billing?

  1. Select Maintenance, System Setup then Accounting.
  2. In the Software Financial Settings group, enable Use Customer Type based pricing. Click OK to save & close.
  3. Select Maintenance then Berth Types & Rates / Item Types & Rates / Unit Types & Rates / Vault Types & Rates.
  4. Double-click the Berth type / item type / Unit type / Vault type that you wish to provide a Casual Daily Billing option to.
  5. Click Setup Customer Type Prices & enter the Daily Rate for each of your various Customer types. When finished, click Close, then OK. You will need to repeat steps 4 and 5 if you want to enable Casual Daily Billing for another Berth type / item type / Unit type / Vault type.
  6. Select Maintenance then Billing Plans. Create a new billing plan for your Casual Daily Rate (you may wish to name it Daily, or similar) & enable the checkbox titled Enable casual daily based billing. Note: Once on a daily billing plan, StorMan will not let you swap to a non-daily billing plan (and vise versa).
  7. Click OK then Done when finished.

 

How do I use Casual Daily Rate billing?

  1. Open the Agreement in question (or create a new one if performing a new move in). You will need to ensure the Berth type / item type / Unit type / Vault type attached to the Agreement has Casual Daily Rate billing enabled (refer to set of instructions above for more detail).
  2. Set the Customer Type dropdown to the desired Customer type. You will need to ensure the Customer Type you select has a Daily Rate entered in the setup screens (refer to set of instructions above for more detail).
  3. Set the Billing Plan dropdown to the desired billing plan (in most instances, you would select your 'Daily' billing plan here). You will need to ensure the Billing Plan you select has casual daily based billings enabled (refer to set of instructions above for more detail). When prompted to reset all Berths / Units / Vaults to the default daily rate, select Yes.
  4. To select the days on which to bill the Customer, click Casual Billing Setup and click the dates that the Customer is to be billed for (the selected dates will appear in red). StorMan will then bill this Customer for rental on the selected dates when the next set of charges are billed. Note: Daily plans are billed in arrears and when first billed upon move-in StorMan will only bill move in charges not rental. Note: StorMan will only allow one Berth / Unit / Vault per Agreement when using a daily billing plan.

 

Important things to keep in mind...

  • Notices setup in Daily Processing for daily billing plans need to use the Last Bill Date and generally set to Plus1 day from the LBD.
  • If you want Daily Processing to handle casual daily rentals, then you must update the casual billing calendar for each casual daily billing client BEFORE running Daily Processing. If there are no days selected, then Daily Processing will skip that Customer in the Daily Processing cycle.
