Understanding the Agreement Screens (Tab 7)

  1. For information about the core window elements (around the edge of the screen), please refer to knowledgebase article #AGTTAB101, which details the first tab.
  2. Other window elements:Agreement - Tab 7
    • Move In Date reiterates the Agreement's original move in date (as per Tab 1; more on this tab: #AGTTAB101).
    • Move Out notice given field is used to enter the date when the Customer told you that they're thinking of moving out. For example, if today was the 1st of January 1999 and the Customer told you "I'm moving out in a fortnight", then the date you would enter here is 01/01/99. Click Today to use the current date in this field.
    • Expected Move Out date is used to enter the date when the Customer will actually be moving out. For example, if today was the 1st of January 1999 and the Customer told you "I'm moving out in a fortnight", then the date you would enter here is 14/01/99. Click Today to use the current date in this field.
    • Expected Move Out Time allows you to specify the move out time, as provided by the Customer. This is an informational field only.
    • Reason for Move Out is self explanatory. The data within this field can be customised via the Types & Categories section of StorMan (more on Types & Categories: #TPCTWITC01). You can report on this data using the Customer Analysis report (more on this report: #RPTCAR01).
    • Billing Details on the lower-left of the window shows system data relating to billing dates and amounts. StorMan uses these figures in it's move out calculations.
    • Balance owing shows any amount that this Customer may still be owing at the time of move out.
    • Remove discount shows the removal of any discount that the billing plan may have originally given. Billing plans can be setup to remove a discount, or incentive, if a Customer moves out early (more on setting up a Billing Plan: #BLPLNSU01).
    • Rental credits shows any rental credits that the system may need to provide, depending on how much notice the Customer has given, how much the Customer has paid in advance, and the specifics of your Notice Required setting (more on this: #SYSSETTAB701).
    • Rental charges shows any rental amounts that the Customer may need to pay (this depends on the specifics of your Notice Required setting (more on this: #SYSSETTAB701) and whether the Customer gave enough notice).
    • Insurance credits shows any insurance credits that this Customer may be entitled to, depending on the amount of insurance that has been prepaid by this Customer.
    • Reverse deposit shows the reversal of any deposit amounts the Customer may have paid upon move in.
    • Other charges shows the total of any other analysis codes that are set to bill upon move out e.g.: a cleaning fee, etc (more on adding / editing Analysis Codes: #ANLADET01). Bill this? allows you to set whether or not you'd like to bill these move out charges for this Customer.
    • Total shows the total of the move out calculation. If this field / number is positive, then the Customer owes your business some money. If this field / number is negative, then your business owes the Customer some money.
    • Create Transactions and Move Out actually moves the person out of all Berths / Units / Vaults attached to this Agreement. If you leave this tab or screen without clicking this button, the Customer will NOT be moved out of any of the Berths / Units / Vaults attached to this Agreement.
    • The Move Out summary section shows brief information about what is required as the next step; such as a refund due TO the Customer, or balance due FROM the Customer (as well as the actual amount).
